Sort Data alphabetically

You can sort data alphabetically by text (A to Z or Z to A), numbers (smallest to largest or largest to smallest), and dates and times (oldest to newest and newest to oldest) in one or more columns. You can also sort by a custom list (such as Large, Medium, and Small) or by format, including cell color, font color, or icon set. Most sort operations are column sorts, but you can also sort by rows.

Step 1: Select a cell from a column that you want to sort. Example we select cell D2.

Step 2: Select the Data tab in the ribbon, and then click on A-Z command or Z-A command. We select A-Z command to sort data alphabetically A to Z.

Suppose, we want to sort our worksheet by Pant Size. A regular sort would organize the sizes alphabetically, which would be incorrect. Instead, we’ll create a custom list to sort from smallest to largest.

Step 1: Select a cell in the column you want to sort by. Suppose, we’ll select cell B2.

Step 2: Select the Data tab, click the Sort

The Sort dialog box will appear. Select the column you want to sort by, choose Custom List from the Order field. We will choose to sort by Pant Size.

Step 3: The Custom Lists dialog box will appear. Select NEW LIST from the Custom Lists box.

Step 4: Type the items in the desired custom order in the List entries: We want to sort our data by Pant size from smallest to largest, so we’ll type Small, Medium, Large, and X-Large, press Enter on the keyboard after each item.

Step 5: Click Add to save the new sort order. The new list will be added to the Custom lists: Make sure the new list is selected click OK.

Step 6: The Custom Lists dialog box will close. Click OK in the Sort dialog box to perform the custom sort.

Step 7: The worksheet will be sorted by the custom order.

Sort by ascending or descending values:

Step 1: To sort the whole table, select the table.

Step 2: Move the pointer over the letter above the column by which you want to sort.

Step 3: Click the arrow that appears, then choose:

Sort Ascending: Sort data alphabetically order (A to Z) or by increasing numerical values.

Sort Descending: Sort the data in reverse-alphabetical order (Z to A) or by decreasing numerical values.
